Grace Place Facility Usage Request

Thank you for your interest in hosting your event or meeting at Grace Place. 
Please fill out this form with as much information as possible so we can determine if we will be able to accommodate your request. 

Request Process: 
1. Read, review, and complete Grace Place Event Request. 

2. Grace Place staff will determine availability of requested space, resources, & cost. 

3. Event is scheduled and the initial deposit is due. 

4. Final payment due before the day of event. 

Facilities Usage & Fees: All facility spaces will be reserved as is. The default set up for each space can be observed during regular business hours. Events requesting alternative set-up or assistance, may be charged an additional fee. General fees include utilization of requested space for a maximum of 5 hours (including set-up and breakdown/clean-up). It also includes utilities costs incurred and cleaning after your event. Approval for additional time can be requested, however additional charges may be incurred. Events must end by 9:00 pm at the latest unless otherwise agreed upon.

We can not accommodate any events on Sunday's.

Please list the best person to get ahold of during the event, if this is you just list your first name.

Include what you envision for tables, chairs, layout, etc. While we try to accommodate most additional setup requests, we cannot guarantee all requests will be fulfilled. A map of the building is available upon request if you have additional questions on set-up please ask when the Events coordinator contacts you. If you would like a walk through or to see the space ahead of time our office hours are 9-4 Monday - Thursday and a meeting can be scheduled.

Upon request we can have a member of our production team to help with any and all tech needs including but not limited to: music, stage lighting, video/image on auditorium screens, audio mixing, livestream, event recording, etc.

Food & Beverage

You will need to apply for a liquor license.

Waivers

An event without a proper liquor license cannot legally sell or serve any alcoholic beverages for consumption on our campus. This includes beer, wine, spirits, and any other alcoholic beverages. Events without a license cannot possess alcohol with the intent to sell or distribute it to others.

For an event where alcohol is to be served or sold you must obtain a liquor license from the town of Berthoud at least 60 days before your event. Grace Place will provide applicable information for the application but WE WILL NOT APPLY FOR THIS FOR YOU. Grace Place may be able to offer TIPS certified bartenders if staff is available.

Any impaired individual(s) may be asked to leave the property. Every effort to handle any situation in a discreet manner will be made. The guest would be contacted immediately with any situation we are unable to resolve quickly. Grace Place DBA Trailhead Cafe reserves the right to contact local law enforcement should the situation dictate. Consumption of alcoholic beverages is limited to the cafe, patio and auditorium. Consumption of liquor in any other areas is strictly prohibited.

If you choose to cancel your event within 7 days of the event, a 10% fee will be assessed based on the total cost of your event. Cancellations due to inclement weather will not be charged a 10% fee, with the discretion of Grace Place Staff. A notice of cancellation must be made aware to a Grace Place representative via email, in person, or hand delivered. Grace Place has the ability and right to cancel and/or reschedule any events onsite due to unforeseen circumstances. Please discuss with the facilities manager or the events coordinator if you have any questions or concerns.

Payment must be sent prior to the day of the event. Unless otherwise arranged with Grace Place staff. Preferred method of payment is by check. Grace Place also accepts cash, money orders, certified checks, personal checks, and major credit cards. Credit card payments may be charged an extra 5% of total fees. All payments should be payable to Grace Place, with facility use with date as the memo. All payments not paid by the due date will be considered breach of agreement. The fees above include a required cleaning fee to have the tables, chairs and high touch surfaces disinfected prior to the event and after the event or use of the room.

A refund may be given for canceled events. For events already paid, for the 10% cancellation fee will be held. If the payment terms of the cancellation policy are not met then the refund policy shall not apply. Refunds will never exceed that amount paid by the canceling party. Refunds shall be paid approximately 30 days after cancellation.

Under no circumstances should any person, besides Grace Place or Trailhead Cafe staff, enter the Trailhead Cafe kitchen. The Trailhead Cafe has a commercial kitchen, and it is NOT a shared space like some churches might have.

No propping of outside doors is allowed. Key holders are responsible for letting guests in and out of the building. Doors can be unlocked for events upon request. For recurring events, if you will not be meeting one week, please notify your event manager so we can verify the property will remain secured.

Grace Place does not allow smoking inside any of its buildings. Consumption of marijuana, either eating, smoking or vaping is strictly prohibited. This includes our building, plaza and garden areas and parking lots/roads. Any violation of this policy may result in, but not be limited to: Up to a $500.00 fine accessed to the Client. Removal of individual(s) from Grace Place property. Involvement of local law enforcement. Early termination of contracted event.
Immediate forfeit of client security deposit. Every effort to handle any situation in a discrete manner will be made. The Client or Client Event Contact would be contacted immediately with any situation that we are unable to resolve quickly.

Decorating is permitted only during contracted event hours, designated as set-up and must be completed prior to the start of the event. Grace Place does not allow the following: Tape, glue, nails, pins to be attached to floor, walls, decor or table linen (including command products). Confetti, glitter, rice, birdseed, spray string. Bubbles are allowed ONLY outdoors. Paper lanterns, fireworks or open flame. Candles are permitted but must be enclosed at all times. All decoration and materials must be taken down and removed at the end of the contracted event time. Any decoration left after the event will be disposed of.

Pets and/or other animals are not permitted Grace Place property unless prior approval by Grace Place management with the exception of those defined as service dogs under ADA.

Client hereby indemnifies and holds harmless Grace Place, its staff, and affiliated entities from and against all claims of whatever nature from accident, injury, or damages to all guests and/or property arising from the use of the premises and the roads or streets providing access hereto. This indemnity shall include all costs, claims, expenses, penalties, liens and liabilities; including attorney fees. Client's obligation with respect to the indemnities therefore shall survive the termination of the agreement.
Grace Place will not assume responsibility for the damage or loss of any merchandise or materials brought on the property at any time by the client or client's guests. Clients shall not destroy, damage, or remove any property from the premise in any way. If any destruction, damage to property, or removal of items should occur, the client shall be responsible for and pay all reasonable costs to repair or replace said property, including attorney fees. Grace Place is not responsible for the loss of any personal items, including gifts during the event. It is recommended that a wedding or gift floater policy be obtained through your insurance agent.

Client hereby acknowledges all listed event policies and procedures. Failure to comply with any of Grace
Place Rules and Regulations may result in the event being stopped and all monies forfeited. Further,
payment for any loss to Grace Place may not be limited to the amount of monies paid. All fees will apply,
and no refunds will be offered.
